Multi-workspace and multi-app lists

Access and manage records across multiple workspaces and apps through unified views that consolidate data from different sources.

Standard workspace views

Typically, users view records within specific apps of a given workspace:

  • Project-specific views - tasks in "Project X" workspace
  • Team-focused data - deals in "Sales Team Workspace"
  • Isolated contexts - each workspace contains its own app data

Unified multi-workspace access

When participating in multiple projects, consolidate data across workspaces:

METAMETA workspace

The METAMETA workspace provides unified views across all workspaces:

  • Cross-workspace consolidation - view records from multiple projects in one place
  • App-specific aggregation - see all instances of a specific app across workspaces
  • Unified management - manage related data without switching between workspaces

DATA app integration

Access records from multiple apps within single or multiple workspaces:

  • Multi-app views - combine data from different apps in one list
  • Cross-app analysis - analyze relationships between different record types
  • Comprehensive reporting - create reports spanning multiple apps and workspaces

Access patterns

1 workspaceMultiple workspaces
1 app

CRM/TASK will show tasks only from CRM workspace

CRM/DEAL will show the deals from CRM workspace

METAMETA/TASK
will show all tasks across all workspaces having tasks

METAMETA/DEAL
will show deals in all workspaces where such app is installed

Multiple apps

CRM/DATA
will show all records of all apps installed in CRM workspace - tasks, issues, timelogs, invoices, etc

METAMETA/DATA
this will show everything you have in the system

Multi-workspace list limitations

App name conflicts

When multiple workspaces contain apps with identical names:

  • Default behavior - METAMETA workspace defaults to the app installed within METAMETA workspace
  • Alternative access - use METAMETA/DATA feature to explicitly select which apps to include
  • Explicit selection - choose specific apps to avoid conflicts and ensure correct data access

Resolution strategies

  • App prioritization - METAMETA workspace apps take precedence in name conflicts
  • Explicit app selection - use DATA app to manually choose which apps to combine
  • Workspace-specific access - access individual workspaces for app-specific functionality

Multi-app list limitations

Field compatibility

When using the DATA app to combine multiple apps:

  • Common fields only - only fields shared across selected apps are displayed
  • Example: Both "invoice" and "task" apps might share "title" or "modified date" fields
  • App-specific fields hidden - specialized fields like "discount" or "estimated hours" won't appear

Selective app combination

The DATA app allows deliberate app selection for optimal results:

  • Targeted combinations - choose specific apps that share relevant fields
  • Example: Combine tasks, issues, bugs, and tickets to show shared attributes like "responsible", "priority", and "estimate"
  • Focused views - create meaningful cross-app lists with common data elements

Benefits of selective combination

  • Relevant data - focus on apps with meaningful field overlap
  • Cleaner views - avoid cluttered lists with incompatible fields
  • Better analysis - compare similar record types across different apps
  • Efficient workflows - work with related data without field conflicts

Multi-workspace and multi-app lists provide powerful ways to consolidate and analyze data across your entire Comind ecosystem.
